Start with a defined part and revision
A useful custom PTFE parts RFQ connects the part identity to the drawing, material and quantity. Give each item a part number and drawing revision. Attach a readable dimensioned PDF alongside a STEP file if available. If you only have a sample, include photographs and the dimensions already known, and identify the information that still needs measuring. Do not present dimensions inferred from a photograph as approved manufacturing data.
Separate fixed requirements from open questions
State the specified material grade, critical dimensions and required documentation. If the grade is undecided, describe the application and ask for a proposal that can be reviewed by your engineer. List alternatives separately so a quotation for a different material or inspection scope is not mistaken for an equivalent offer. Identify whether the part is a replacement that must match an existing assembly or a new design that can still change.
Include the application and delivery context
Provide relevant media, temperature, loading and mating-part information. For a gasket or valve seat, include the sealing interface and operating conditions; for an insulator, include electrical requirements. State sample quantity, expected batch quantity and delivery destination separately. Request lead time after the supplier has reviewed the complete specification, and distinguish production time from transport time.
Compare quotation scope before comparing price
Ask each quotation to identify the drawing revision, material, unit quantity, inspection scope, packing and any exclusions. Confirm which documents will be supplied and whether a sample must be accepted before a production batch. A lower price may cover a different scope. Record unresolved questions and obtain a revised quotation when the drawing or material changes.
